General Privacy Policy for Hospice New Zealand

This privacy policy explains how we, Hospice New Zealand, a registered charity located at 93 Cuba Street, Level 6, Te Aro, Wellington (we, our, us or Hospice NZ), will collect, use and share your personal information through our website (www.hospice.org.nz) (website) and the online Hospice Data Commons Insights Dashboard (Data Commons Dashboard). For the purposes of this privacy policy, the website and Data Commons Dashboard are each referred to as a Hospice Website and together are referred to as the Hospice Websites.

This privacy policy applies if you use or access, or contact us through, a Hospice Website.

If we are not able to collect, use and disclose personal information as set out in this privacy policy, then that may impact our ability to engage with you and your ability to use the Hospice Websites.

The information we collect

Personal information is information that, directly or indirectly, identifies you (for example, names and email addresses). The types of personal information that we may collect about you in relation to the Hospice Websites are:

  • Identity and contact information: such as your first name, last name, phone number, email and postal addresses. We will only collect this information when you provide it to us as part of your use of a Hospice Website (eg if you make a purchase on the website or as part of any log in details that you provide to us).
  • Communication information: such as emails, telephone calls, so that we may record any questions, queries and/or instructions you give us, as well as any commitments we give to you. We also ensure that any messages intended for a particular hospice are delivered to them.
  • Communication preferences: information about how you like to communicate with us and the types of communications that you may be interested in.
  • Financial information: when you make an online donation or purchase through a Hospice Website, bank account information and payment card details. This information may be collected directly by our third-party payment providers.   • Profile information: if you have a profile on the Data Commons Dashboard, a username and password. To help ensure that you are appropriately authorised to use the Data Commons Dashboard, we may also need to collect from the relevant hospice that you are associated with, information to verify who you are and your permissions to access the Data Commons Dashboard.
  • Usage information: where you use a Hospice Website, information about how you interact with that Hospice Website.
  • Technical information: where you use a Hospice Website, technical information about that use including, but not limited to, internet protocol (IP) address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, and other technology on the devices you use to access the website.
  • Marketing and communications information: such as your preferences in receiving marketing from us and your communication preferences.

Why we use your information

We may collect, hold and use your personal information to:

  • help us in responding to any correspondence with you or requests from you;
  • respond to, or investigate, complaints or potential unlawful activity;
  • comply with our legal, regulatory, tax and/or accounting requirements;
  • monitor use of, and improve, the Hospice Websites;
  • keep you updated with our activities and involvement in the community where we think that might be of interest to you (and you have provided consent to those communications);
  • enable you to log into your Data Commons Dashboard account (if you have one);
  • process any donations or payments that you choose to make to us; and
  • help us operate and manage the Hospice Websites and our operations.

Who we share information with

In some cases, we may need to share your personal information with:

  • individual hospices for the purposes set out above. For example, if you make a donation to a specific hospice through the website, or send us a message through the website that is intended for a particular hospice, we may share your information with that hospice so that they can process your donation or respond to your enquiry;
  • if you are using the Data Commons Dashboard, in some cases we may need to share information with other hospice and ethics and data governance groups (for example, to approve your use of the Data Commons Dashboard); and
  • third parties to help us with the purposes set out above, such as service providers, professional advisors and financial institutions. We may also disclose information to third parties where we believe it is reasonably necessary to enforce our legal rights, or to protect the rights, property and safety of us, our employees, you, or others.

Google analytics

We use Google Universal Analytics to collect statistical information about visits to our website. Those statistics allow us to, for example, measure the number of visitors to different sections of the website and publications, identify what information is of interest, monitor system performance, and help us make the website and publications more useful to visitors. This information is aggregated and does not identify you personally. It includes:

  • your IP address;
  • the search terms you used;
  • the pages you visited on our website and the links you clicked on;
  • the date and time you visited the website;
  • the referring site (if any) from which you clicked through to our website;
  • your operating system, for example Windows, MacOS;
  • the type of web browser you use, such as Chrome, Safari, Internet Explorer or Mozilla Firefox; and
  • your screen resolution and the language setting of your browser.

The statistical information referred to above can be viewed by our site administrators and certain other Hospice NZ staff. Google may also use the statistical data collected when you use their partners’ sites or apps.

Cookies

We use persistent session cookies (that is, they have an expiry date and are removed on that date) to monitor site usage. The cookies do not collect personal information. You can usually set the settings on your browser to let you know when you are offered cookies so you can decide whether or not to accept them. You can disable or refuse cookies without affecting your ability to use the website.

Accessing and correcting your personal information

Governing law
